Event bookings
We record attendee names, business details, one booking contact’s email and phone number, ticket quantity, payment references, event check-in records and your accepted booking terms. We use these to arrange your attendance, send confirmations and contact you about the event. In the private admin area, check-ins are linked to the booking email to show the number of different events attended. Group bookings share the booking contact’s email.
Dietary requirements
This information is optional. Only provide it with each attendee’s permission. It is used to arrange food and shared with the relevant venue or caterer where necessary. Dietary notes are stored encrypted and the scheduled cleanup removes them from the booking database 30 days after the event. Downloaded lists and backups must be handled separately.
Payments
Stripe handles your payment securely. We do not collect or store card numbers. Stripe receives the booking reference, total and contact email, but not your dietary notes. Read Stripe’s privacy information.
Club updates
Signing up for club marketing updates is optional and separate from buying tickets. We ask you to confirm your email address. Use the unsubscribe link in the emails or contact us to stop receiving updates. We retain an unsubscribe record to avoid contacting you again by mistake. Essential emails about an existing booking are separate. Club announcements are sent individually, so recipients cannot see each other’s addresses. Private delivery records help us manage sends and opt-outs; we do not track email opens or clicks.
Hosting enquiries
When you offer to host an event, we record your contact and business details, venue address, capacity, facilities, availability and any other details you provide. We use these to discuss possible events, send an acknowledgement and notify the club organiser. Your enquiry is stored encrypted in private server storage and is visible to authorised administrators. Hosting does not sign you up for marketing unless you choose club updates and confirm your email address.
Potential event venues
We keep a private shortlist of potential venues with public business contact information, source links, contact status and planning notes. Invitations are reviewed by the club organiser and prepared in their email app. This does not subscribe a venue to club updates. The optional admin venue search sends the selected area and type of venue to Google Maps Platform. Google search results are displayed for that request and are not stored in the shortlist. Google handles those searches under its Privacy Policy.
Original interest responses
Responses to the original interest form are held in our private Google Sheet and a private encrypted copy in the admin area. These include the contact details, meeting preferences, hosting information and comments you provided. They help us understand interest and plan the club. Where you agreed to be contacted, we may email you relevant club updates using those details. This is recorded separately from confirmed website subscriptions. Every club update includes an unsubscribe link, and opt-outs apply across both sources.
Cookies and analytics
Essential session cookies protect forms and admin access. On the homepage, Google Analytics loads only if you accept analytics cookies. Your choice is remembered for six months and can be changed using Cookie settings. The new booking and admin pages do not load analytics.
Access and retention
Access to booking, interest and hosting records is restricted to authorised administrators. Records are kept only as needed for events, support, accounting and other applicable obligations. Contact us about accessing, correcting or deleting your details, or if you have a concern about their use.
